- Plan, coordinate, and execute all chapter meetings and private events for 20–30 high\-net\-worth members
- Manage all logistics: venue selection, A/V setup, catering, dietary preferences, attendee tracking, and on\-site execution
- Coordinate guest speakers and manage all associated logistics and relationships
- Build detailed agendas, presentation decks, and digital meeting packets including attendee bios and R360 materials
- Provide C\-suite\-caliber administrative and operational support to the Chapter Chair
- Prepare reports, briefings, presentations, and all meeting materials to the highest standard
- Serve as the primary point of contact for chapter members
- Maintain personalized member relationships, manage CRM records (HubSpot), and coordinate WhatsApp communications
- Track attendance, preferences, and feedback; maintain accurate and up\-to\-date member databases
- Support member recruitment, onboarding, and a seamless, welcoming member journey
- Manage multiple workstreams simultaneously — tracking deadlines, vendor relationships, event budgets, and quality
- Maintain meticulous documentation, records, and milestone tracking
- Keep HubSpot CRM and the R360 community platform (Hivebrite) accurately updated at all times
- Facilitate prospect communications, NDA coordination, and due diligence logistics
- Ensure smooth candidate transitions through the evaluation and onboarding process

- Minimum 5 years of recent experience as an Executive Assistant supporting C\-Level executives
- Proven experience planning and executing small\-to\-mid\-size in\-person events (20–30 attendees), with full ownership of logistics and on\-site management
- Strong project management skills — organized, detail\-driven, and able to manage competing priorities without dropping the ball
- Must be based in or able to reliably commute to the New York City metro area
- Proficiency in CRM platforms (HubSpot preferred), Microsoft Office Suite, and virtual/event platforms
- Impeccable discretion, judgment, and professionalism when working with high\-profile, ultra\-high\-net\-worth individuals
- Bachelor's degree in Business Administration or a related field
- Experience working in a UHNW environment — family office, private wealth management, luxury services, or an exclusive membership/private club setting
- Background in member\-based organizations, peer communities, or private networks

This is a hybrid role. Candidates must be able to commute to New York City reliably for chapter events and meetings.

You work hand\-in\-hand with the Chapter Chair to deliver flawless member experiences — from curating intimate executive gatherings to managing every logistical detail with precision and discretion.
You will serve a community of ultra\-high\-net\-worth (UHNW) members, and your work will directly shape the quality and reputation of the chapter experience. This role demands someone who is detail\-obsessed, discreet by nature, and deeply professional in every interaction.
