Duties

  • Manage front desk responsibilities, including greeting visitors and directing them appropriately
  • Operate multi\-line phone systems to handle incoming calls with professionalism and courtesy
  • Perform data entry, filing, and maintain organized records using digital tools such as Google Workspace and Microsoft Office
  • Assist with calendar management and scheduling appointments for staff and executives
  • Support bookkeeping tasks using QuickBooks or similar accounting software
  • Provide customer support by answering inquiries via phone or email, ensuring excellent service standards
  • Proofread documents, correspondence, and reports for accuracy and clarity
  • Handle clerical duties such as photocopying, scanning, and mailing documents
  • Maintain office supplies inventory and coordinate procurement as needed
  • Support office management tasks to ensure a productive work environment
  • Requirements

  • Proven experience in an office setting with strong clerical and administrative skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Familiarity with QuickBooks or other bookkeeping software preferred
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong typing skills and computer literacy for efficient data entry and document management
  • Exceptional phone etiquette and customer service skills, including experience with multi\-line phone systems
  • Bilingual abilities are a plus to serve diverse clients and team members effectively
  • Previous experience as a receptionist or personal assistant is highly desirable
  • Knowledge of medical or dental receptionist duties is advantageous but not required
  • Ability to multitask efficiently while maintaining attention to detail and accuracy
