Duties
- Greet visitors and answer multi\-line phone systems with professionalism, providing excellent customer support in both English and Spanish.
- Manage front desk responsibilities, including scheduling appointments, handling incoming inquiries, and maintaining a welcoming atmosphere.
- Perform data entry, filing, and document proofreading to ensure accuracy and organization across all office records.
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and document management.
- Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and basic financial recordkeeping.
- Coordinate calendar management and appointment scheduling for staff or executives while ensuring efficient time management.
- Maintain office supplies inventory, oversee filing systems, and ensure the overall organization of the workspace.
- Proven experience in an office environment with clerical or administrative responsibilities.
- Strong bilingual proficiency in English and Spanish is essential for effective communication with diverse stakeholders.
- Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, data entry, and general office management software.
- Demonstrated organizational skills with the ability to multitask efficiently in a fast\-paced setting.
- Exceptional phone etiquette skills with experience managing multi\-line phone systems.
- Prior experience as a receptionist or medical/dental receptionist is a plus; personal assistant experience is also valued.
- Ability to handle confidential information discreetly while maintaining accuracy in proofreading and data entry tasks.
