Duties

  • Greet visitors and clients at the front desk with professionalism and warmth, ensuring a positive first impression
  • Manage multi\-line phone systems, directing calls accurately and courteously while providing excellent customer support
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
  • Handle incoming correspondence, emails, and inquiries promptly and efficiently
  • Assist with filing, photocopying, proofreading documents, and organizing office supplies to support daily operations
  • Support calendar management and scheduling for staff appointments or meetings as needed
  • Provide general administrative assistance such as typing reports, updating databases, and supporting bookkeeping tasks using QuickBooks or similar software
  • Qualifications

  • Proven clerical or administrative experience in an office setting with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent computer literacy including data entry, file management, and email communication
  • Strong phone etiquette skills with experience operating multi\-line phone systems
  • Bilingual abilities (English/Spanish or other languages) are highly desirable to serve diverse client needs
  • Experience in customer service roles such as medical receptionist, dental receptionist, or personal assistant is a plus
  • Ability to prioritize tasks effectively with excellent time management skills
  • Attention to detail for proofreading documents and maintaining accurate records
  • Familiarity with office management practices including filing systems, calendar management, and basic bookkeeping using QuickBooks or similar tools
