Responsibilities

  • Manage front desk operations, greeting visitors and clients with professionalism and warmth
  • Answer and direct multi\-line phone systems efficiently, maintaining excellent phone etiquette
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office and Google Workspace tools for correspondence, scheduling, and record\-keeping
  • Support office management tasks such as calendar management, appointment setting, and supply inventory
  • Assist with bookkeeping duties using QuickBooks or similar accounting software when necessary
  • Provide exceptional customer support by addressing inquiries promptly and courteously
  • Maintain cleanliness and organization of the reception area and shared workspaces
  • Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask effectively in a busy environment
  • Experience with office management, clerical tasks, and administrative support roles
  • Familiarity with multi\-line phone systems and phone etiquette standards
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial tasks
  • Exceptional typing speed and accuracy for data entry and correspondence
  • Strong attention to detail for proofreading documents and maintaining records
  • Effective time management skills to prioritize tasks efficiently
  • Previous experience as a receptionist—medical or dental—is advantageous but not required
  • Personal assistant or medical receptionist experience can be beneficial in understanding client needs
