Job Title: Virtual Mental Health Administrative Assistant (Part\-Time)

Location: Miami, Florida (Remote)

Position Overview

Therapy Walk Innovative Counseling Services is seeking a detail\-oriented and compassionate Virtual Mental Health Administrative Assistant to support daily operations within our practice. This role is essential in ensuring smooth administrative workflows, effective client communication, and accurate financial and clinical documentation. The ideal candidate is highly organized, tech\-savvy, and passionate about supporting mental health services in a virtual environment.

Key Responsibilities

* Patient Account Management: Maintain and update client records, ensuring accuracy and confidentiality in compliance with HIPAA regulations.

* Billing \& Payment Reconciliation: Process client payment, verify insurance information, and reconcile accounts.

* Client Communications: Serve as a primary point of contact for clients via phone, email, and messaging platforms; schedule appointments and respond to inquiries promptly.

* Intake Coordination: Manage new client onboarding, including intake forms, documentation, and initial scheduling.

* Data Entry \& Reporting: Accurately input client and billing data into EHR systems and generate reports as needed.

* Office Administration: Provide general administrative support, including calendar management, document organization, and workflow coordination.

Required Qualifications

  • Minimum of
  • 1 year of experience in mental health, healthcare, or behavioral health administration (private practice or group setting preferred)

  • Experience with
  • Electronic Health Record (EHR) systems

  • Proficiency in platforms such as
  • TheraNest and SimplePractice

  • Knowledge of
  • medical billing and coding, including ICD\-10 codes

  • Strong understanding of
  • HIPAA compliance

  • High level of technical proficiency, including
  • Microsoft Excel and Microsoft Word

    Preferred Qualifications

  • Experience in
  • marketing and design tools such as Canva and ChatGPT

  • Prior experience in a mental health or healthcare setting
  • Bilingual: English/Spanish or English/Creole (highly preferred)
  • Minimum of a
  • high school diploma (additional certifications or coursework in healthcare administration is a plus)

    Schedule

  • Part\-time (hours to be determined based on practice needs)
  • 12\-15 hours
