In this vital role, you will manage appointment scheduling, handle client inquiries, and support administrative functions that keep our spa running seamlessly. Duties
- Greet clients warmly upon arrival and assist with check\-in and check\-out procedures.
- Schedule, reschedule, and confirm massage appointments using spa management software.
- Manage multi\-line phone systems to answer inquiries, provide information, and direct calls appropriately.
- Maintain accurate medical records, appointment logs, and client files in compliance with HIPAA regulations.
- Verify and process payments using Vagaro.
- Coordinate with therapists to ensure proper allocation of appointments and manage last\-minute schedule changes.
- Support administrative tasks including filing, data entry, documentation review, and office organization to optimize front desk efficiency.
- Proven experience in medical or spa office management, including medical scheduling and front desk support.
- Knowledge of massage therapy terminology.
- Strong computer skills with proficiency in Excel and Word and some knowledge of Vagaro is helpful, but not necessary.
- Excellent phone etiquette, customer service skills, and ability to handle multi\-line phone systems confidently.
- Bilingual abilities are a plus to serve diverse client populations effectively.
- Previous experience working in a healthcare or dental clinic environment is highly desirable.
