Overview

We are seeking a dynamic and highly organized Office Manager / Bookkeeper to join our team! This vital role combines administrative leadership with financial oversight, ensuring the smooth operation of our office environment while managing essential bookkeeping functions. You will play a key role in supporting daily office activities, supervising team members, managing vendor relationships, and maintaining accurate financial records. Duties

  • Oversee daily office operations, including front desk management, multi\-line phone systems, and calendar scheduling to ensure seamless communication and workflow.
  • Supervise administrative staff, providing training, guidance, and support to foster a productive team environment.
  • Manage vendor relationships by coordinating procurement, negotiating contracts, and ensuring timely delivery of supplies and services.
  • Handle bookkeeping responsibilities using QuickBooks or similar accounting software, including invoicing, expense tracking, bank reconciliations, and financial reporting.
  • Assist with human resources functions such as onboarding new employees, maintaining personnel files, and supporting payroll processes.
  • Coordinate event planning for meetings, staff development sessions, or community outreach activities to promote team engagement.
  • Maintain organized filing systems (both electronic and paper), ensure compliance with record\-keeping standards, and support medical office management if applicable.
  • Manage budgeting tasks by monitoring expenses and assisting in financial planning efforts to optimize office resources.
  • Support administrative tasks such as document preparation, data entry, filing, and handling correspondence with professionalism and attention to detail.
  • Experience

  • Proven supervisory experience leading administrative or office teams in a fast\-paced environment.
  • Strong proficiency with QuickBooks or comparable bookkeeping software; experience with payroll processing is highly desirable.
  • Demonstrated expertise in schedule management and calendar coordination across multiple stakeholders.
  • Experience managing vendor relationships and negotiating contracts to maximize value.
  • Background in human resources functions including onboarding, training \& development, and employee relations.
  • Prior office experience in clerical or administrative roles within medical or healthcare settings is a plus.
  • Excellent communication skills paired with organizational prowess to handle multiple priorities efficiently.
  • Familiarity with multi\-line phone systems, front desk operations, filing systems, and general office management practices.
