Property Management & Construction Operations Assistant (Part-Time, Hybrid – Santa Monica)

Join a small but growing real estate/property management and construction operation as a Part\-Time Operations Assistant. This role supports day\-to\-day operations, project coordination, and follow\-ups across multiple properties and construction projects.

This is a hands\-on, execution\-focused role for someone who is highly organized, tech\-savvy, and able to manage tasks, track progress, and follow through to completion without constant supervision.

This is not a leasing agent or full\-time property manager role, and it is not suitable for candidates seeking full\-time employment now or in the near future.

Schedule

  • 2\-3 days/week in office (Santa Monica), Flexible at approx. 9:00 AM – 1:00 PM or 10:00 AM \- 2:00 PM
  • 2–3 days remote (calls, follow\-ups, coordination)
  • Approximately 15–20 hours per week
  • Occasional Saturdays if needed
  • Requirements

  • 3–5\+ years experience (property management, construction admin, escrow, or similar)
  • Strong organization and attention to detail
  • Ability to work independently and take ownership
  • Strong communication and follow\-up skills
  • Fluent in
  • Microsoft Word, Excel, and Outlook

  • Familiarity with
  • AppFolio, QuickBooks, or similar software preferred

    * Spanish speaking is a plus

    Task \& Project Management (Critical Requirement)

    You must have hands\-on experience using task/project management systems such as:

  • ClickUp
  • Monday
  • Asana
  • Trello or similar
  • You will be expected to:

  • Track tasks with priorities and due dates
  • Maintain a shared system
  • Provide visibility of progress without being asked
  • If your system is based on handwritten notes or personal tracking, this role is not a fit.

    Responsibilities

  • Organize paperwork and files
  • Scan and maintain digital records
  • Coordinate vendors, contractors, and tenants
  • Follow up and ensure tasks are completed
  • Assist with scheduling and operations
  • Assist with personal tasks and errands as needed
  • Construction Coordination

  • Help track project schedules
  • Follow up with contractors and vendors
  • Source materials and service providers
  • Key Expectation

    Tasks are not complete until the result is achieved, not when a message is sent.

    Strong follow\-through and persistence are required.

    Compensation

    $25–$35/hour depending on experience
