Position Title: Administrative Assistant
Reports to: Vice President, Finance \& Administration
Location: c3controls, US
Status: Part\-Time (25 Hours/Week)
Schedule: 5 hours per day on site (M\-F)
About the Role
c3controls is seeking a versatile, organized, and proactive Administrative Assistant to join our team on\-site. This role is the "glue" of our daily operations, providing essential clerical support, assisting our HR department, Leadership Team and acting as a primary liaison between our employees and management.

Key Responsibilities
1\. Office Administration \& Clerical Support
- Manage daily on\-site office operations, including mail distribution, filing, and office supply inventory.
- Maintain a professional and organized front\-office environment.
- Coordinate internal meetings, including room scheduling and catering when necessary.
- Assist the HR team with document management, including digital filing, form completion and maintaining employee records.
- Support the onboarding process for new hires (preparing workstations, coordinating orientation schedules).
- Assist with tracking employee certifications, training, or attendance records.
- Provide direct administrative assistance to the leadership team as needed.
- Handle sensitive information with the utmost confidentiality and discretion.
- Assist with special projects, reports, and data entry tasks.
- Serve as an on\-site "Key Communicator," bridging the gap between employees and management.
- Help disseminate company\-wide announcements and updates effectively.
- Gather employee feedback or questions and escalate them to the appropriate leadership channels.
- Experience: 3\+ years in an administrative, HR support, or office management role.
- Tech Savvy: An early adopter of new technologies with a proven ability to master emerging productivity tools with minimal training
- Communication: Exceptional verbal and written communication skills with a "people\-first" attitude.
- Organization: Strong ability to multitask and prioritize deadlines in a fast\-paced environment.
- Reliability: As this is an on\-site role, consistent attendance during the designated 25 hours is essential.

Travel
This position may require light travel locally (within a 15 minute radius) to provide company clerical support
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax/scanner machines.

Position Type/Expected Hours of Work
This is a part\-time position, Monday through Friday. Scheduling will be determined during the hiring process.
