    Posting Summary

    Rutgers, The State University of New Jersey is seeking an Accounting Assistant I for the English Department’s Business Office. The Accounting Assistant (AA) I position reports directly to the Director of Finance and Operations. This pivotal role administers business and human resource services for the English Department and its affiliated units. The Accounting Assistant I serves as the primary preparer for all financial functions and provides support for Human Resource\-related activities, including but not limited to accounts payable, accounts receivable, expense management, and the collection and entry of payroll and personnel data.

    The Accounting Assistant I position is critical in the English Department’s administrative framework. This multifaceted position showcases excellent organizational skills, keen attention to detail, and effective communication abilities. The AA I is instrumental in coordinating various administrative tasks, including processing personnel paperwork, purchasing, policy dissemination, and maintenance of office operations.

    Moreover, this position is critical to the timely processing and analyzing of financial documents, providing invaluable insights into budgetary activities. This position ensures fiscal transparency and efficiency within the department and its affiliated units by meticulously tracking budget activity and monitoring cash receipts, contributing to the department’s financial integrity and accountability.

    Among the key duties of this position are the following:

  • Performs duties including processing cash transmittals, maintaining a meticulous shadow system to track revenue and expenditures, reconciling accounts, facilitating data analysis, executing journal entries and cost transfers, and preparing comprehensive financial statements and reports for staff and faculty leadership.
  • Plays a crucial role in payroll and hiring functions, completing the accurate and timely payroll processing for part\-time staff, student workers, Federal work\-study students, other hourly employees, and overtime for full\-time staff.
  • Manages the hiring process for part\-time staff, hourly employees and student worker positions and provides support on other HR functions as needed, ensuring compliance with university policies and procedures.
  • Manages procurement processes, including preparing requisitions and processing purchase orders.
  • Keeps up\-to\-date on expense management policies, Concur system updates, coordinating travel arrangements, and processing reimbursements via the expense management system, and undertaking special projects and duties as assigned by departmental leadership.
  • Maintains a good working knowledge of University Purchasing, Reimbursement, and Travel policies and procedures.
  • Maintains compliance with Generally Accepted Accounting Principles and Practices (GAAP).

    Qualifications

    Minimum Education and Experience

  • Bachelor’s Degree or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of finance, budgeting, generally accepted accounting principles and practices and a minimum of two years’ relevant experience.
  • Certifications/Licenses

    Required Knowledge, Skills, and Abilities

  • Good communication, organizational and critical thinking skills, and computer literacy.
  • Evidence of being well organized, detail\-oriented, and capable of multi\-tasking.
  • A willingness to maintain respect for system security measures and the confidentiality of certain types of information.
  • Preferred Qualifications

  • Experience in utilizing Cornerstone Financial Management Systems, PeopleSoft, Concur, and Marketplace.
  • Equipment Utilized

  • Microsoft 365 (i.e., Excel, Word and Teams, Outlook), cloud\-based content management, file\-sharing tools (i.e., Box), video conferencing platforms, Adobe, DocuSign and other web browser applications.
  • Physical Demands and Work Environment

  • Ability to lift 20 lbs.
