Responsibilities

  • Greet visitors at the front desk with friendly, professional customer service and manage multi\-line phone systems to direct calls efficiently.
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office software.
  • Manage appointment scheduling, calendar coordination, and organize meetings to optimize team productivity.
  • Handle filing, document proofreading, and ensure all paperwork is accurate, organized, and easily accessible.
  • Support office management by overseeing supply inventory, processing invoices with QuickBooks, and assisting with bookkeeping tasks.
  • Provide general administrative support such as copying, scanning, mail distribution, and maintaining office cleanliness.
  • Assist with special projects or tasks as needed to ensure the smooth operation of the office environment.
  • Requirements

  • Proven clerical or administrative experience in an office setting.
  • Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Exceptional phone etiquette skills with experience managing multi\-line phone systems.
  • Bilingual abilities are highly desirable to support diverse client needs.
  • Experience in customer service or customer support roles is preferred.
  • Knowledge of office management procedures including filing systems, proofreading documents, and calendar management.
  • Personal assistant or medical/dental receptionist experience is a plus but not required.
