Duties
- Providing exceptional customer service and ensuring a professional first impression
- Manage phone calls while efficiently and courteously using proper phone etiquette
- Handle incoming correspondence, including emails, mail, and packages, with accuracy and promptness
- Maintain organized filing systems—both physical and digital—using tools like Jobber and Google Workspace
- Support data entry tasks, including updating records in QuickBooks and other office management software
- Assist with calendar management and scheduling appointments for staff or clients as needed
- Perform clerical duties such as proofreading documents, preparing reports, and managing office supplies inventory
- Daily check in/out of back stock, supplies and keys to staff members
- Proven experience in an office environment or as a receptionist, with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Google Workspace applications, Jobber experience highly recommended
- Excellent computer literacy with the ability to learn new software quickly
- Strong typing skills and attention to detail for data entry and proofreading tasks
- Experience with multi\-avenue communication systems and phone etiquette to handle all types of customer inquiries professionally
- Bilingual abilities are highly desirable to serve diverse client and staff needs effectively
- Knowledge of office management procedures, including filing systems, bookkeeping basics using QuickBooks, and calendar management
- Prior experience in customer service or administrative support roles is preferred
- Ability to multitask efficiently while maintaining a friendly demeanor under pressure
Requirements
The required time of arrival each day is 7:30am. This position will begin as a partially working from home position and transition into a fully working in office position after construction has been completed.
