Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism
- Answer multi\-line phone systems promptly, providing accurate information or routing calls efficiently
- Perform data entry and maintain organized filing systems to ensure easy retrieval of documents
- Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
- Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation and communication
- Handle clerical duties such as proofreading, photocopying, faxing, and mailing correspondence
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record\-keeping
- Provide excellent customer service by addressing inquiries via phone or in person with patience and professionalism
- Support medical or dental reception duties if applicable, including patient check\-in and appointment coordination
- Maintain office supplies inventory and ensure the workspace remains organized and efficient
- Proven office experience or clerical background demonstrating strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
- Experience with QuickBooks or other bookkeeping software is preferred but not mandatory
- Excellent phone etiquette and ability to manage multi\-line phone systems confidently
- Bilingual abilities are a plus for serving diverse clients effectively
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast\-paced environment
- Typing speed of at least 40 words per minute with accuracy; proofreading skills are highly valued
- Personal assistant or medical/dental receptionist experience is advantageous but not required
- Knowledge of office management practices including filing systems, calendar management, and time management techniques
