We are seeking a Studio \& Executive Design Assistant to support our remote team across studio operations, design coordination, and field logistics. This role is ideal for someone who thrives in a fast\-paced environment, enjoys solving problems, and takes pride in keeping complex projects organized and moving forward.
This position is hands\-on and dynamic, requiring both in\-studio presence and field support during installations and project milestones. “Boots on the Ground” supporting a remote team in a multitude of tasks.
Role Overview
The Studio \& Executive Design Assistant serves as the operational backbone of the studio, supporting the principal designer and SJ team in executing projects with exceptional attention to detail. This role bridges studio coordination, executive support, and field assistance to ensure the studio runs smoothly and projects remain organized and on schedule. You are the “boots on the ground” supporting a remote team in various tasks.
This is a high\-accountability role that requires a strong sense of ownership. The right person takes initiative, anticipates needs, and follows through without constant direction. Success in this role comes from being proactive, detailed, organized, and personally invested in keeping projects moving forward with a pep in your step.
Work Structure
This role is offered as a hybrid position, with a mix of in\-office and remote work.
Team members are typically expected to work in the studio 2–3 days per week, with the remaining days working remotely. Because project needs, meetings, and installations vary, the specific days in the office may change week to week. Flexibility is essential, and the right candidate will be comfortable adjusting their schedule to support the needs of the studio.
Candidates must live within a 30–40 mile radius of Edwards, Colorado to ensure they can be present in the studio and on project sites as required.
Key Responsibilities
Design \& Project Support
- Assist the team with daily project coordination and task management
- Track project deliverables, timelines, and follow\-ups ensuring your work keeps in alignment and on track
- Coordinate vendor communication, schedule vendor presentations and coordinate sample procurement
- Prepare and assist with client presentations, materials, and client documentation
- Maintain organized project files and documentation
- Support client communication and follow\-ups as directed
- Take highly detailed notes from meetings with clients, sub\-contractors, OAC’s and site visits and distribute to all parties accordingly
- Maintain organization of the studio, sample library, and project materials
- Restock office supplies, beverages, and snacks to maintain a welcoming environment.
- Track incoming deliveries and vendor shipments, upload photos of received items to systems in place and coordinate returns or UPS shipments
- Organize samples, binders, and design materials for meetings and presentations and in our finish library
- Maintain fabric and finish library, keep it organized and maintained
- Maintain systems that support efficient studio workflow
- Review and document voicemails, ensuring timely follow\-up
- Ensure the studio environment remains organized and ready for project work
- Maintain and organize the install bag and supplies, ensuring readiness for upcoming installations
- Verify all install materials are properly labeled and documented and the team has what they need to be successful at an installation
- Assist with project installations and site visits
- Conduct small\-scale installs on your own
- Coordinate deliveries, vendors, and onsite logistics during install periods
- Support styling and final project preparation
- Pick up and transport samples or materials as needed
- Document installs through photography and organization of materials
- Document site conditions through clear photos of progress
- Meet sub\-contractors onsite for estimates, measurements, walkthroughs, etc.
- Visit receiving warehouse or vendor locations for in person inspections related to claims and damages
- Meet with repair or service technicians onsite to review issues and coordinate resolutions
- Document repair services and damages through clear photography and report back to team
- Assist the Principal Designer with occasional personal local errands (pick ups, returns, drop offs, etc.)
- Taking initiative rather than waiting for direction
