Responsibilities

  • Greet visitors warmly, determine their needs, and direct them appropriately with professional phone etiquette
  • Manage multi\-line phone systems efficiently, answer inquiries, transfer calls, and take detailed messages
  • Handle front desk duties including scheduling appointments, maintaining visitor logs, and managing incoming correspondence
  • Perform data entry tasks using Microsoft Office, Google Workspace, and other office software with accuracy and attention to detail
  • Maintain filing systems, organize documents, and ensure proper record keeping for easy retrieval
  • Support office management through calendar management, appointment setting, and coordinating meetings or events
  • Assist with clerical tasks such as proofreading documents, preparing reports, and managing office supplies
  • Qualifications

  • Proven experience in office administration or receptionist roles with strong clerical skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment
  • Strong customer service orientation with exceptional phone etiquette and communication skills
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Experience with QuickBooks or bookkeeping is a plus for handling basic financial records
  • Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required
