We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This vital role combines administrative excellence with team leadership, ensuring smooth office functioning, efficient scheduling, and effective vendor and human resources management. Responsibilities

  • Oversee daily office activities, including front desk operations, multi\-line phone systems, and visitor management to ensure a professional and welcoming environment.
  • Manage calendar scheduling for meetings, appointments, and events, coordinating with internal teams and external vendors to optimize time utilization.
  • Supervise administrative staff, providing training and development opportunities to foster team growth and efficiency.
  • Coordinate event planning for company functions, meetings, and community outreach initiatives to promote engagement and team cohesion.
  • Handle vendor management by negotiating contracts, overseeing service delivery, and maintaining positive relationships with suppliers and service providers.
  • Oversee human resources functions such as onboarding new employees, managing payroll using QuickBooks or similar software, maintaining personnel records, and supporting employee relations.
  • Maintain accurate bookkeeping and budgeting records; monitor office expenses to ensure financial efficiency.
  • Supervise clerical tasks including filing systems, record keeping, and document management to uphold organizational standards.
  • Requirements

  • Proven experience in office management or administrative roles within a professional environment; prior medical office management experience is a plus.
  • Demonstrated supervising experience with strong team management skills.
  • Proficiency in QuickBooks for payroll processing and financial recordkeeping; familiarity with budgeting tools is desirable.
  • Excellent communication skills with the ability to handle phone etiquette professionally across multi\-line systems.
  • Strong organizational skills with keen attention to detail; capable of managing multiple priorities simultaneously.
  • Experience in event planning, vendor negotiations, and human resources functions including training \& development initiatives.
  • Knowledge of office procedures such as filing systems, front desk operations, calendar management, and clerical tasks.
  • Ability to adapt quickly in a fast\-paced environment while maintaining a positive attitude and professional demeanor.
