Role Overview:
The Administrative Assistant provides essential support to manufacturing and operations by maintaining accurate documentation, entering and reporting production data, preparing KPI reports, and assisting with material planning activities. This role works extensively in Excel and IQMS/MRP to ensure data integrity, timely reporting, and smooth coordination across production, planning, and procurement functions.

- Create, update, and maintain machine setup sheets.
- Build and modify Excel\-based setup templates and forms.
- Manage document versions and approvals within the IQMS document control module to ensure compliance and accuracy.
- Enter daily/weekly production data into standardized Excel spreadsheets.
- Generate routine production reports and summaries in Excel (training provided on report generation and formatting).
- Verify data for completeness and accuracy prior to submission.
- Collect and consolidate operational data from multiple spreadsheets/sources into a central KPI report.
- Prepare and upload KPI visuals to digital displays (training provided; process is straightforward).
- Maintain a consistent reporting cadence and file organization for auditability.
- Create purchase orders (POs) for tooling and raw materials in ERP system.
- Create POs for outsourced services and track status as needed.
- Process shipments and related transactions within IQMS to ensure accurate inventory and order records.
- Assist with material planning and inventory control activities (e.g., counts, reconciliations, updates).
- Support weekly ship\-plan preparation by gathering data from spreadsheets and uploading the plan to digital displays.
- Run tooling reports to identify current and upcoming tooling needs and escalate as appropriate.
- 2–3 years in an administrative, manufacturing operations, planning, or data\-entry role (preferred).
- High school diploma or equivalent required
- Familiarity with MRP/ERP systems (IQMS) preferred
- Proficiency in Microsoft Excel including data entry, sorting/filtering, formulas, basic reporting; comfort learning new templates.
- High accuracy in data entry, document control, and reporting.
- Strong file management, version control, and ability to meet recurring reporting deadlines.
- Clear, professional communication with production, planning, and procurement teams.
- Ability to identify data discrepancies and follow through to resolution.
- Handles operational data with discretion and adherence to procedures.

Critical Competencies for Success:
Pay range: $25\.51 \- $36\.79/hour
Within this range, individual pay is determined based on skills, experience, and qualifications relative to the job requirements. Base pay information is aligned with market location and may be subject to prevailing wage laws, if applicable.
