Responsibilities

  • Greet visitors warmly, answer multi\-line phone systems, and direct calls with excellent phone etiquette
  • Manage front desk operations, including scheduling appointments and handling incoming inquiries
  • Maintain organized filing systems, data entry, and document proofreading to ensure accuracy and accessibility
  • Support office management tasks such as calendar management, meeting coordination, and time management
  • Assist with bookkeeping activities using QuickBooks or similar accounting software when needed
  • Provide customer support by addressing client questions and delivering exceptional service in person or over the phone
  • Perform clerical duties including copying, faxing, mailing, and managing office supplies to keep the workspace efficient and well\-stocked
  • Requirements

  • Proven office experience with strong computer literacy in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment
  • Prior experience in administrative roles such as medical or dental receptionist is a plus
  • Bilingual abilities are required
  • Strong typing skills combined with attention to detail for proofreading and data entry tasks
  • Knowledge of multi\-line phone systems, filing procedures, and general office management practices
  • Exceptional customer service skills paired with professional phone etiquette and a friendly demeanor
  • Ability to handle confidential information discreetly while managing calendar appointments and personal assistant tasks
