We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers an exciting opportunity to support daily office operations. About Old Santa Fe Association: Founded in 1926, Old Santa Fe Association’s (OSFA) mission is to preserve the priceless heritage, historical structures, traditions, cultural assets, and environment that distinguish the city and county of Santa Fe. OSFA fulfils its mission through a focus on historic preservation advocacy, education, and preservation\-minded community service.
Duties
- Perform data entry and maintain organized filing systems (electronic and hard copy)
- Provide excellent computer skills for daily activities
- Support bookkeeping tasks using Excel or similar accounting software for invoicing and expense tracking
- Write checks for expenses and deposits for donations and contributions
- Work closely with Finance/Bookkeeping consultant on organization's financial activities
- Manage insurance including Directors and Officers, General Liability and Commercial Property policies and other contracts and leases
- Maintain database of members
- Update and maintain OSFA’s website, email newsletters, social media accounts, and digital materials using Microsoft and Adobe products
- Proven experience in an administrative or clerical role with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), Google Workspace, and database applications
- Excellent written and verbal communication skills
- Strong typing skills with attention to detail for proofreading and data entry tasks
- Ability to manage time effectively, prioritize tasks, and adapt to changing priorities
- Demonstrate ability to handle confidential information discreetly and professionally
- Experience with nonprofit administration, fundraising, membership management, historic preservation
- Event management skills

Coordinate/collaborate with Executive Director on the production and distribution of OSFA’s bi\-annual newsletter, El Boletín!*
Requirements
Useful assets:
· Knowledge of Constant Contact and InDesign, or willing to learn
· Knowledge of Santa Fe history, architecture, cultural politics
The Administrative Assistant is an hourly position, working 15\-20 hours per week at $30\.00/hour without benefits and reports to the Executive Director.
Pay: $30\.00 per hour
