Duties

  • Greet visitors at the front desk with professionalism and warmth, ensuring a positive first impression
  • Operate multi\-line phone systems, screen calls, and direct inquiries efficiently using excellent phone etiquette
  • Manage calendar schedules, appointments, and meetings for staff members with precision and timeliness
  • Handle data entry, filing, and document proofreading to maintain accurate records and support office workflows
  • Utilize Microsoft Office Suite and Google Workspace tools for correspondence, reports, and presentations
  • Perform basic bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping
  • Provide exceptional customer service by addressing inquiries promptly and supporting client needs with enthusiasm
  • Requirements

  • Proven office management or administrative experience in a professional environment
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to multitask effectively in a busy setting
  • Bilingual abilities are highly desirable to assist diverse clients and team members
  • Previous clerical experience including filing, proofreading, and document preparation is preferred
  • Knowledge of multi\-line phone systems, phone etiquette, and customer support practices
  • Experience as a dental or medical receptionist or personal assistant is a plus but not required
  • Ability to manage time efficiently while maintaining attention to detail in all tasks
