Position Overview:
The Assistant Manager is a versatile and integral member of the Case Management team, responsible for providing high\-level support across various internal functions. This role is designed for someone who thrives in a fast\-paced environment, is highly adaptable, and has the confidence to take initiative.
As a utility player for the department, the Assistant Manager must be quick to pivot between priorities while maintaining accuracy, discretion, and a commitment to service excellence. This position is ideal for someone who is detail\-driven, systems\-oriented, and motivated by efficiency and results.
Key Responsibilities:
Data Entry \& Administrative Support
- Accurately input, update, and manage data across platforms.
- Perform a range of administrative tasks, including processing documents, status checks, and internal communications.
- Provide direct operational support to Senior Client Manager to ensure case workflows remain smooth and uninterrupted.
- Actively follow up with custodians regarding outstanding requests, delays, or documentation issues stateside.
- Identify potential roadblocks early and escalate issues appropriately to avoid disruptions to timelines and service standards.
- Maintain clear, professional communication when addressing delays or discrepancies.
- Generate and distribute various reports to internal staff and clients.
- Audit reports for completeness, compliance, and accuracy—flagging any inconsistencies or areas requiring attention.
- Ensure professional and timely communication with clients
- Monitor, respond to, and escalate client notes and triggers appropriately
- Review client emails and provide follow\-up as needed
- Maintain organized communication and records to support high\-level client satisfaction
- Navigate various internal and client\-facing portals to perform updates, check statuses, and ensure case\-related actions are completed on time.
- Troubleshoot basic platform issues and communicate technical needs or errors to the appropriate support team when needed.
- Conduct regular audits of various reports to ensure compliance with internal policies and client\-specific requirements.
- Recommend process improvements based on audit findings and recurring trends.
- Take on new assignments as needed and quickly learn unfamiliar platforms or procedures with minimal guidance.
- Serve as a dependable backup across multiple departments during peak periods, staff absences, or special projects.
- Actively seek training opportunities to stay informed on evolving tools and internal procedures.
- Must be available to work full\-time, Monday through Friday (hours are not guaranteed)
- Prolonged periods of sitting or standing at a desk and working on a computer

Previous experience in administrative, operational, or support roles preferred (especially in a legal or document\-heavy environment).
