Duties

  • Greet visitors, clients, and staff with a friendly and professional demeanor, ensuring a positive first impression
  • Manage multi\-line phone systems, directing calls accurately and courteously
  • Handle incoming correspondence, including emails, mail, and deliveries with precision and promptness
  • Maintain organized filing systems, data entry records, and ensure all documentation is accurate and up\-to\-date
  • Support office management tasks such as calendar management, appointment scheduling, and meeting coordination
  • Assist with bookkeeping duties using QuickBooks or similar accounting software to track expenses and invoices
  • Provide customer support by addressing inquiries promptly and professionally in person or over the phone
  • Requirements

  • Proven experience in office management or administrative roles with clerical experience preferred
  • Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Exceptional phone etiquette and customer service skills to create a welcoming environment
  • Familiarity with multi\-line phone systems and data entry procedures
  • Experience in medical or dental receptionist roles is a plus but not required
  • Personal assistant experience or calendar management skills are advantageous
  • Ability to handle confidential information discreetly and maintain professionalism at all times
