We are currently looking for an Administrative Assistant to join our team. The Administrative Assistant will be responsible for managing front\-desk operations and providing essential support to ensure smooth daily operations. This role requires professionalism, strong organizational skills, and a customer\-focused attitude.
Responsibilities:
- Ensure timely delivery of final documents to clients, including overseeing project printing and coordinating deliveries (USPS)
- Assist the business development team with quotes and opportunity management as required
- Maintain inventory of office supplies and oversee ordering and restocking
- Work with the General Manager to ensure office equipment is well\-maintained and arrange for repairs when necessary
- Draft and send professional emails to clients, ensuring clear and effective communication.
- Oversee office procedures, including managing correspondence and maintaining an organized filing system
- Ensure the office is compliant with local regulations, including managing insurance, tax certifications, and audits.
- Follow and enforce company guidelines, procedures, and best practices for consistent operations.
- Answer incoming calls, screen as needed, and route calls to the appropriate department or contact.
- Maintain close communication with the Office Administrator and support with any assigned tasks.
- Keep office branding materials up to date, including printed collateral and signage.
- Manage break room supplies inventory (coffee, cups, chocolate, napkins, and related items), ensuring timely restocking.
- Classify financial transactions and monitor accounts, including open balances and A/R reports.
- Strong Phone Etiquette and Receptionist Duties experience
- Proficiency in performing Clerical Skills such as data entry, scheduling, and organizing documents
- Excellent Communication skills, both verbal and written
- A customer\-focused mindset with exceptional Customer Service skills
- Multitasking abilities and attention to detail
- Proficiency in basic office software (e.g., MS Office Suite) is preferred
- High school diploma or equivalent required; additional training or certification is a plus
- 2–3 years in administrative support and accounting/bookkeeping
