Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. Responsibilities
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
- Provide executive administrative support by preparing reports, correspondence, and presentations; proofreading documents for accuracy and clarity.
- Coordinate and organize company events, meetings, and conferences, including venue selection, catering arrangements, and logistical planning.
- Handle multi\-line phone systems with professionalism, practicing excellent phone etiquette while screening calls and directing inquiries appropriately.
- Oversee office management duties such as filing, data entry, maintaining office supplies, and ensuring a well\-organized workspace.
- Assist with bookkeeping tasks using QuickBooks or similar software; perform basic bookkeeping and recordkeeping to support financial processes.
- Support project coordination efforts by tracking deadlines, preparing agendas, taking minutes, and following up on action items to ensure timely completion.
- Manage personal assistant responsibilities as needed, including personal scheduling or errands that support executive productivity.
- Proven experience in an executive administrative or personal assistant role with strong office management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
- Excellent organizational skills with the ability to multitask efficiently in a fast\-paced environment.
- Strong typing skills combined with transcription and proofreading capabilities for professional document preparation.
- Experience with bookkeeping software such as QuickBooks; familiarity with basic accounting principles is a plus.
- Exceptional communication skills demonstrating courteous phone etiquette and customer service excellence.
- Ability to handle confidential information discreetly while maintaining high levels of professionalism.
- Familiarity with multi\-line phone systems, office equipment (fax machines, scanners), and office procedures such as filing and document management.
