Job Title: Office Assistant – Hospice

Position Summary:

The Hospice Office Assistant provides administrative and clerical support to ensure the smooth day\-to\-day operations of the hospice office. This role is essential in maintaining accurate records, assisting staff with organizational needs, and ensuring patients, families, and team members receive timely support and communication.

Key Responsibilities include but not limited to:

  • Greet visitors, answer incoming calls, and direct inquiries to the appropriate staff.
  • Provide general administrative support including filing, data entry, scanning, and faxing.
  • Assist with referrals, admissions, preparing and maintaining patient charts and records in compliance with regulatory requirements.
  • Schedule meetings, coordinate staff calendars, and support office communications.
  • Process incoming and outgoing mail, packages, and correspondence.
  • Maintain office supplies and ensure equipment is in good working order.
  • Assist clinical and leadership staff with reports, documentation, and special projects.
  • Support new employee onboarding by preparing necessary materials and documents.
  • Uphold confidentiality and protect patient information in compliance with HIPAA regulations.
  • Contribute to a positive, compassionate, and professional office environment that reflects hospice values.
  • Qualifications:

  • High school diploma or equivalent; additional training or coursework in office administration preferred.
  • Prior experience in a healthcare or hospice setting a plus.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort with electronic medical record systems.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive information with discretion and professionalism.
  • Compassionate, patient, and supportive attitude toward patients, families, and colleagues.

Work Environment:

This position is based in a hospice office and involves frequent interaction with staff, patients, and families, requiring professionalism, empathy, and confidentiality at all times.
