Legal Assistant / Receptionist / Office Manager with McCartha Law, LLC – Huntsville, Alabama
McCartha Law, LLC is a small, fast‑paced law firm focusing on estate planning, probate, and business matters. We are seeking a full‑time team member who can combine the roles of legal assistant, receptionist, and office manager, with responsibility and initiative more in line with a operating executive than an administrative assistant only.
Key Responsibilities
- Serve as primary receptionist: answer and route calls, greet clients, manage reception area.
- Schedule and confirm client appointments and maintain attorney calendars.
- Open and maintain electronic and physical client files; scan and organize documents.
- Assist with drafting, formatting, and proofreading legal documents and correspondence.
- Manage mail, deliveries, copying, scanning, and general office tasks.
- Handle day‑to‑day bookkeeping, including data entry, recording payments, A/R and A/P.
- Prepare and send client invoices and follow up on outstanding balances.
- Assist with reconciliations, deposits, and basic financial reporting.
- Monitor office supplies and coordinate basic office and equipment needs.
- Prior law firm or professional office experience strongly preferred.
- Solid bookkeeping skills and comfort with accounting or ms teams and‑management software.
- Strong organizational skills, attention to detail, and ability to manage multiple deadlines.
- Professional written and verbal communication skills and client‑facing demeanor.
- Proactive, reliable, and able to work independently in a small‑firm environment.
