Job Summary
The Sales and Purchasing Support Representative I is responsible for accurate and timely entry of sales and purchase orders, maintaining organized records, and providing essential administrative support to the sales and purchasing departments. This entry\-level role focuses on data accuracy, order processing, and documentation to support daily operational efficiency.
Key Responsibilities
Order Processing and Data Entry
- Process and accurately input sales orders and purchase orders in a timely manner
- Review orders for basic accuracy (pricing, quantities, item codes) and notify the sales team of inconsistencies
- Maintain up\-to\-date records of sales orders, purchase orders, spreadsheets, and templates
- Update databases and templates for new product additions
- Perform general data entry tasks to support sales and purchasing operations
- Run duplicate order reports and resolve issues to ensure data accuracy
- Generate and distribute open sales order reports; follow up on obsolete or inactive orders
- Track and update monthly inbound appointment schedules
- Organize and file sales orders for accessibility and compliance
- Distribute customer proformas internally for review
- Provide administrative assistance to the sales and purchasing teams
- Support additional tasks as needed based on operational requirements
- High school diploma or GED required
- Strong attention to detail and accuracy
- Ability to manage multiple tasks and meet deadlines
- Strong written and verbal communication skills
- Proficiency in Microsoft Excel; familiarity with other Microsoft Office tools
- Ability to perform repetitive tasks with consistency
- Team\-oriented and dependable
- Bilingual English and Spanish preferred
- Prolonged periods of sitting or standing
- Communication with others to exchange information
