Responsibilities

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and transcribing meetings or notes as needed.
  • Coordinate projects by tracking deadlines, preparing materials, and ensuring all tasks are completed on time.
  • Handle office management duties such as filing, data entry, maintaining office supplies, and overseeing front desk responsibilities.
  • Organize events and meetings, including venue booking, catering arrangements, and preparing agendas or presentation materials.
  • Maintain professional phone etiquette while managing multi\-line phone systems and screening calls effectively.
  • Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping.

  • Requirements

  • Proven experience in an executive administrative or office management role with strong organizational skills.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems.
  • Excellent typing speed with high accuracy; experience with transcription and proofreading is highly desirable.
  • Familiarity with project coordination tools and techniques to manage multiple priorities efficiently.
  • Strong communication skills with professional phone etiquette and customer service experience.
  • Ability to handle confidential information discreetly while maintaining a positive attitude under pressure.
  • Experience using Office equipment such as multi\-line phone systems, fax machines, and printers; familiarity with DocuSign for electronic signatures is a plus.   • Previous experience as an executive secretary, administrative assistant, or in other related fields
  • Strong organizational skills

  • Proficiency with Google Workspace (Docs, Sheets, Calendar)
  • Experience using a CRM (e.g., Follow\-up Boss, Salesforce, HubSpot)
  • Familiarity with project management tools (e.g., Trello, Asana)
  • Experience with accounting software (e.g., QuickBooks)
  • Proficiency with videoconferencing platforms (e.g., Zoom, Teams)
  • Experience managing cloud storage (e.g., Google Drive, Dropbox)
  • Pay: $600\.00 \- $700\.00 per week
