We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to our leadership team. Responsibilities
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
- Provide executive administrative support by preparing correspondence, reports, presentations, and proofreading documents to ensure accuracy and clarity.
- Coordinate projects and events from planning stages through execution, including venue booking, logistics management, and vendor communication.
- Handle complex phone systems with professional phone etiquette, screening calls, taking messages, and directing inquiries efficiently.
- Oversee office management duties, including filing, data entry, recordkeeping, and maintaining organized physical and digital files.
- Assist with bookkeeping tasks using QuickBooks or similar software; perform basic bookkeeping functions including invoicing and expense tracking.
- Support personal assistant responsibilities such as managing personal appointments or errands as needed by leadership.
- Facilitate communication across departments by transcribing meetings, preparing agendas, and ensuring timely follow\-up on action items.
- Proven experience as an executive assistant or in a similar administrative role with a strong background in office management and clerical duties.
- Exceptional organizational skills with the ability to multitask efficiently in a fast\-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar.
- Strong typing skills along with experience in transcription, proofreading, data entry, and document formatting.
- Knowledge of office equipment such as multi\-line phone systems and front desk procedures; experience in customer service is preferred.
- Ability to handle sensitive information discreetly while demonstrating excellent phone etiquette and professionalism at all times.
- Experience with project coordination tools or software is a plus; familiarity with DocuSign for electronic signatures is advantageous.
