Operations Assistant
*Reports to:
- Vice President of Operations
- Remotely receive incoming shipments, verifying accuracy against purchase orders and packing slips, and coordinating with employees on\-site at our stores.
- Maintain accurate inventory records, including tracking stock levels, and updating the inventory system.
- Communicate with vendors and stores regarding orders, deliveries, and discrepancies.
- Support Inventory Manager on critical tasks associated with these functions.
- Prepare and send invoices to customers.
- Process customer payments, including checks, credit card transactions, and electronic transfers.
- Maintain accurate records of customer accounts and transactions.
- Follow up on overdue accounts and escalate collection efforts as needed.
- Reconcile accounts receivable balances.
- Receive and process invoices from vendors.
- Verify the accuracy of invoices, including pricing, quantities, and terms.
- Obtain necessary approvals for invoices.
- Provide general administrative and clerical support, including data entry, filing, and photocopying.
- Answer and direct phone calls, take messages, and respond to inquiries.
- Assist with the preparation of reports and presentations.
- Maintain office supplies and equipment.
- Assist with other administrative tasks as needed.
- High school diploma or equivalent required; Associate's degree in business administration or accounting preferred.
- Proven experience in an administrative role, with experience in inventory management and basic accounting preferred.
- Basic knowledge of accounting principles and practices, including accounts receivable and accounts payable.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and time\-management skills.
- Excellent attention to detail and accuracy.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Ability to maintain confidentiality.
- Experience with shipping and receiving procedures.
- Familiarity with inventory management systems and software.

Position Philosophy: This position is responsible for providing administrative and operational support to ensure the smooth and efficient functioning of the office. This role involves a combination of administrative duties, inventory management, and basic accounting tasks, including accounts receivable and accounts payable. The successful candidate will be joining a growing company and supporting 8 hardware stores across the state of Montana. This position will be based out of Billings, MT, and report to the Vice President of Operations, while supporting other positions.
