Operations Assistant

*Reports to:

  • Vice President of Operations
  • *Direct Reports: None*

    Position Philosophy: This position is responsible for providing administrative and operational support to ensure the smooth and efficient functioning of the office. This role involves a combination of administrative duties, inventory management, and basic accounting tasks, including accounts receivable and accounts payable. The successful candidate will be joining a growing company and supporting 8 hardware stores across the state of Montana. This position will be based out of Billings, MT, and report to the Vice President of Operations, while supporting other positions.

    *Responsibilities:*

    Receiving and Inventory Management:

  • Remotely receive incoming shipments, verifying accuracy against purchase orders and packing slips, and coordinating with employees on\-site at our stores.
  • Maintain accurate inventory records, including tracking stock levels, and updating the inventory system.
  • Communicate with vendors and stores regarding orders, deliveries, and discrepancies.
  • Support Inventory Manager on critical tasks associated with these functions.
  • Accounts Receivable (A/R):

  • Prepare and send invoices to customers.
  • Process customer payments, including checks, credit card transactions, and electronic transfers.
  • Maintain accurate records of customer accounts and transactions.
  • Follow up on overdue accounts and escalate collection efforts as needed.
  • Reconcile accounts receivable balances.
  • Accounts Payable (A/P):

  • Receive and process invoices from vendors.
  • Verify the accuracy of invoices, including pricing, quantities, and terms.
  • Obtain necessary approvals for invoices.
  • General Administrative Support:

  • Provide general administrative and clerical support, including data entry, filing, and photocopying.
  • Answer and direct phone calls, take messages, and respond to inquiries.
  • Assist with the preparation of reports and presentations.
  • Maintain office supplies and equipment.
  • Assist with other administrative tasks as needed.
  • *Required Qualifications:*

  • High school diploma or equivalent required; Associate's degree in business administration or accounting preferred.
  • Proven experience in an administrative role, with experience in inventory management and basic accounting preferred.
  • Basic knowledge of accounting principles and practices, including accounts receivable and accounts payable.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and time\-management skills.
  • Excellent attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Ability to maintain confidentiality.
  • *Preferred Qualifications:*

  • Experience with shipping and receiving procedures.
  • Familiarity with inventory management systems and software.

  • $19\-$20 per hour
