Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Manage multi\-line phone systems, directing calls efficiently and professionally while providing accurate information or transferring calls as needed.
- Handle scheduling tasks such as calendar management and appointment setting for various departments or professionals.
- Maintain organized filing systems, including digital data entry, document proofreading, and record keeping to support administrative workflows.
- Support office management duties such as supply inventory, mail distribution, and basic bookkeeping using tools like QuickBooks.
- Provide excellent customer support by addressing inquiries via phone or email with professionalism and courtesy.
- Assist with clerical tasks including typing correspondence, proofreading documents, managing office emails, and ensuring overall office organization.
- Proven experience in office management or administrative roles with strong clerical skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Excellent computer literacy with the ability to learn new software quickly.
- Strong organizational skills with attention to detail and accuracy in data entry and proofreading.
- Exceptional phone etiquette skills with experience managing multi\-line phone systems.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Previous experience in receptionist roles such as dental or medical receptionist is a plus.
- Ability to handle multiple priorities efficiently while demonstrating excellent time management skills.
