Responsibilities

  • Greet patients warmly in both English and Spanish, creating a welcoming atmosphere upon arrival
  • Verify patient insurance coverage, perform insurance eligibility checks, and complete insurance verifications using systems like Epic, Meditech, Athenahealth, or eClinicalWorks
  • Schedule appointments efficiently using medical scheduling software and manage multi\-line phone systems with professionalism and courtesy
  • Collect patient information accurately, review medical records, and update electronic health records (EHR) systems such as Epic or Meditech
  • Assist providers with clinical tasks including taking vital signs, preparing exam rooms, and documenting patient encounters with attention to detail
  • Support medical billing processes by coding procedures using CPT codes and ICD\-10/ICD\-9 diagnosis codes; ensure accurate documentation review for billing compliance
  • Maintain organized medical records and ensure compliance with HIPAA regulations to protect patient confidentiality
  • Perform administrative duties such as filing, faxing, data entry (including 10 key typing), and managing office supplies to support smooth clinic operations
  • Verify insurance benefits for Medicare and other payers; assist with intake procedures and patient check\-in/out processes
  • Demonstrate excellent phone etiquette while managing appointment reminders and patient inquiries professionally
  • Experience

  • Proven clinic or medical office experience working in a front desk or administrative support role within a healthcare setting
  • Bilingual proficiency in English and Spanish is required to effectively communicate with diverse patient populations
  • Familiarity with EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or Dentrix is highly preferred
  • Experience with dental terminology or dental clinic operations is a plus for clinics offering dental services
  • Knowledge of medical coding (ICD\-10/ICD\-9\), CPT coding, and medical billing procedures to ensure accurate documentation and reimbursement
  • Strong computer skills including Microsoft Office Suite (Word, Excel) and health information management software like Eaglesoft or Dentrix
  • Excellent customer service skills with the ability to handle multi\-line phone systems efficiently and professionally
  • Ability to perform clerical tasks such as filing, faxing, data entry (including 10 key typing), and maintaining organized files in a fast\-paced environment
