Reports to: Bookkeeper
SUMMARY
The Assistant Bookkeeper will assist the Bookkeeper with managing all aspects of financial bookkeeping for multiple restaurants (except filing taxes). You will partner directly with the Bookkeeper and operators to assist managing their books, inventory, pay their bills, reconcile all transactions, produce weekly reporting, and ultimately be more cost effective to improve food, beverage and labor costs. In addition, constant interactions between the various restaurants, vendors, and staff members.
ESSENTIAL FUNCTIONS
Primary responsibilities include:
General
- Work with various departments to categorize and class all banking transactions to their correct locations.
- Responsible for assisting Bookkeeper with Accounts Payable (AP) duties, including vendor payments, entering invoices, and ensuring all payments are properly matched to their corresponding invoices.
- Create, update, and maintain various excel spreadsheets tracking data such as sales, payroll allocations, and other information essential to finance and business operations.
- Investigating and responding to credit card chargebacks.
- Assist Owners, Managers and Chefs with various day\-to\-day administrative tasks.
- Perform general office duties, offering clerical and administrative support to management as requested.
- Attend regular weekly meetings including visibly seen in video\-conference meetings.
- Perform day to day financial transactions, including verifying, classifying, and recording data.
- Validate sales reports and record weekly sales, including sales tax.
- Verify the accuracy of invoices, vouchers, expense reports, check requests, etc. Then code such items with correct general ledger account codes and ensure proper entry into the financial system.
- Handles inquiries via phone or email from and internal managers and external vendors.
- Receives, researches, and resolves a variety of inquiries concerning account status.
- Assists with period status reports, and monthly closings.
- Assist the Bookkeeper with reconciling the accounts payable ledger to ensure that all bills and payments are accounted for and properly posted.
- Learn how to use Point of Sale system including but not limited to Heartland and Aloha.
- Financial knowledge of food and labor cost controls
- Adhere to company standards and service levels to increase sales and minimize costs, including food, beverage, supply, utility, and labor costs.
- Assists the Bookkeeper with ensuring that all financial (invoices, reporting) and personnel/payroll related administrative duties are completed accurately, on time and in accordance with company procedures.
- Control cash and other receipts by adhering to cash handling and reconciliation procedures.
- Ensure positive guest service in all areas including managers, staff members, vendors, and guests.
- Ensure that proper security procedures are in place to protect employees, guests and company assets.
- Ensure a safe working and guest environment to reduce the risk of injury and accidents. Completes accident reports promptly in the event that a guest or employee is injured.
- Assist the Bookkeeper with Investigating and resolving complaints concerning any credit card or financial transactions.
- Participate in food and beverage inventory weekly and monthly.
- Provide direction to employees regarding operational and procedural issues.
- Interview candidates when requested.
- Conduct training of new employees on POS and financial procedures.
- Provide strong presence in local community and high level of community involvement by restaurant and personnel.

- College degree is preferred. Bachelor of Science degree in hotel/restaurant management is desirable. A combination of practical experience and education will be considered as an alternative.
- Knowledge of computers and software including, MS Word, Excel, Outlook, SharePoint, OneDrive, OneNote, PowerPoint.
- Must possess a valid driver’s license.

- Performs other duties and responsibilities as required or requested.
- Hours may vary if emergencies arise.
- Position requires prolonged sitting, bending, stooping, twisting, lifting products and supplies weighing 45 pounds, and long periods of computer work.
