Metro District Administrative Assistant – Job Summary
About the Role
The Metro District Administrative Assistant supports Metro District Manager(s) by coordinating board meetings, assisting with homeowner communications, supporting compliance activities, and providing general administrative office support across multiple metropolitan districts.
Key Responsibilities
- Provide daily administrative support to Metro District Manager(s).
- Coordinate board meetings, prepare meeting materials, and assist with agendas and minutes.
- Maintain calendars, schedules, deadlines, and organized district records.
- Serve as a primary point of contact for homeowners, vendors, and consultants.
- Respond to routine phone, email, and written inquiries professionally.
- Track follow‑up items resulting from board meetings.
- Assist with compliance activities and site observations.
- Support the architectural review process (application intake, tracking, and coordination).
- Perform general clerical tasks: filing, data entry, document verification, correspondence tracking.
- Support office procedures and use standard office equipment and Microsoft Office Suite.
- High school diploma or equivalent (required).
- 1–2 years of administrative or office experience preferred.
- Strong organizational, communication, and multitasking skills.
- Ability to follow procedures, handle confidential information, and manage deadlines.
- Proficiency in Microsoft Office (Excel, Word, Outlook, Teams).
- Valid driver’s license and reliable transportation.
- Ability to lift up to 25 lbs.
- Evening availability for occasional meetings.
- Must be tech savvy
