Job Overview

We are seeking a dynamic and detail\-oriented Insurance Restoration Assistant Admin to join our team! Duties

  • Answer phone calls efficiently to handle inquiries and schedule appointments
  • Assist with data entry, filing, and maintaining accurate records of insurance claims and restoration projects
  • Support office management tasks such as calendar management, appointment scheduling, and document proofreading
  • Utilize computer skills including Microsoft Office, Google Workspace, and QuickBooks for daily administrative functions
  • Provide excellent customer support by responding promptly to client questions and coordinating communication between teams
  • Perform clerical duties such as filing, photocopying, and organizing project files to ensure easy access and compliance
  • Create contracts, word documents for homeowners
  • Review Non Sal inventory reports for accurate pricing and description
  • Maintain a filing system for reports, correspondence, within our CRM system
  • Follow up with Mortgage companies to confirm documents and checks have arrived and schedule mortgage walks
  • Schedule environmental and testing based on request from estimators and Project managers
  • Follow up with adjusters to confirm they have received all documents submitted
  • Requirements

  • Proven office management or administrative experience in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and QuickBooks
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Previous experience in customer service or reception roles, especially in medical or dental office environments preferred
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Knowledge of phone etiquette essential for professional communication
  • Typing speed and accuracy along with attention to detail for proofreading documents and data entry tasks
  • Ability to manage time efficiently in a fast\-paced environment while maintaining professionalism
