Overview

We are seeking a dynamic and organized Secretary/Receptionist to join our professional team. This vital role combines front desk management, administrative support, and exceptional customer service to ensure smooth daily operations. The ideal candidate will be energetic, detail\-oriented, and capable of handling multiple responsibilities with a positive attitude. You will serve as the first point of contact for visitors and clients, manage communications efficiently, and support various office functions to foster a welcoming and productive environment.

Duties

  • Greet visitors warmly, assist with check\-in procedures, and direct them appropriately
  • Answer multi\-line phone systems promptly and professionally, providing excellent phone etiquette
  • Manage front desk operations, including scheduling appointments and maintaining visitor logs
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite and Google Workspace for correspondence, reports, and record keeping
  • Support office management tasks such as calendar management, supply ordering, and basic bookkeeping using QuickBooks
  • Provide customer support via phone or in person, addressing inquiries with professionalism and clarity
  • Maintain cleanliness and organization of the reception area to create a welcoming environment
  • Assist with clerical duties including typing, photocopying, and managing incoming/outgoing mail
  • Qualifications

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace, and data entry skills
  • Experience with multi\-line phone systems and excellent phone etiquette
  • Bilingual abilities are highly preferred to serve diverse client needs effectively
  • Knowledge of normal computer programs and the internet.
  • Strong time management skills with the ability to prioritize tasks efficiently
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous
  • Excellent proofreading skills to ensure error\-free documents and correspondence
  • Demonstrated customer service skills with a friendly, professional demeanor
  • Ability to handle confidential information discreetly while maintaining professionalism
