We're looking for a Business Operations Coordinator who can thrive in a fast\-moving, constantly evolving environment—someone who sees change not as chaos, but as opportunity.
This full\-time role is designed for a high\-trust team player spanning admin, sales coordination, bookkeeping, and logistics—ideal for someone who thrives in a fast\-paced, ever\-evolving environment where systems are still being built. You’ll help coordinate customer needs, track inbound leads, update systems, assist with logistics, and formalize emerging processes. You’ll work closely with recorded design meetings and document product changes in Airtable for production, assist with CRM tracking, and support shipping and event logistics as needed.
This role is not for someone who needs a rigid playbook—many of our workflows are still being optimized. We move fast, and the right person will be energized—not rattled—by change. If you're calm under pressure, proactive by nature, and excited to bring structure to an ambitious mission, this role could be for you.
This is a hybrid position requiring some hours in the office (Salem, VA) most likely on a weekly basis. We are open to considering a fully remote candidate. Being fully remote would be an exception to an absolute rockstar of a candidate. A rock star candidate would have performed duties similar to this in a remote function before.
Key Responsibilities:
Executive \& Operational Support
- Provide day\-to\-day support to the CEO by managing task lists, coordinating project deadlines, and maintaining clarity across workstreams
- Document key takeaways from recorded customer design meetings and update Airtable for product team execution
- Document and formalize internal processes to support scale and clarity
- Track and follow up with inbound leads in Zoho CRM
- Coordinate with internal teams to ensure customer design changes are implemented accurately and on time
- Provide quote, intake, and light customer communication support as needed
- Fill in for Shipping Manager as needed—helping with order fulfillment, tracking, and shipping communication
- Pack and lift boxes up to 50 lbs
- Coordinate travel arrangements and conference logistics (lodging, flights, booth gear, etc.)
- Track and manage promotional material inventory for events
- Upload receipts and maintain proper expense documentation
- Support accounts receivable and accounts payable tracking in coordination with CEO and accountant
- Ensure clean, accurate monthly financial records to support growth and decision\-making
- Previous EMS experience
- High adaptability and comfort operating in environments where change is the norm
- A proactive mindset—you don’t wait for direction, you seek clarity and take initiative
- Experience with tools like Airtable, Zoho CRM, Xero, or similar systems
- Strong organizational skills with a sharp eye for detail
- Excellent communication—able to translate conversations into action
- Integrity, follow\-through, and a service\-first mentality
