Duties
- Greet visitors warmly and direct them appropriately, ensuring a positive first impression
- Manage multi\-line phone systems, screen calls, and route inquiries efficiently
- Maintain a clean, organized front desk area and manage incoming mail and packages
- Assist with data entry, filing, and document proofreading to support administrative operations
- Schedule appointments and calendar management using Google Workspace or Microsoft Office tools
- Support office management tasks such as supply inventory and basic bookkeeping using QuickBooks or similar software
- Provide exceptional customer support by addressing inquiries promptly and professionally
- Handle clerical duties including typing, photocopying, and maintaining accurate records
- Proven office experience with strong organizational skills and attention to detail
- Excellent computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi\-line phone systems and phone etiquette best practices
- Bilingual abilities are highly desirable to assist diverse clientele effectively
- Knowledge of QuickBooks, bookkeeping, data entry, filing, and proofing documents
- Strong customer service skills with a friendly demeanor and professional communication style
- Ability to manage time efficiently in a fast\-paced environment while prioritizing tasks effectively
- Previous experience as a dental or medical receptionist or personal assistant is a plus but not required
- Familiarity with office management tools such as calendar management software and clerical procedures
