Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers an exciting opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. As an energetic and proactive member of our organization, you will be the first point of contact for visitors and callers, manage administrative tasks with precision, and contribute to a positive office environment. Your expertise in office management, strong computer skills, and excellent communication abilities will help keep our operations running smoothly and efficiently.

Duties

  • Serve as the front desk ambassador by greeting visitors, managing multi\-line phone systems, and providing friendly customer support
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records
  • Manage calendar scheduling, appointment setting, and calendar management for team members using tools like Google Workspace and Microsoft Office
  • Perform clerical tasks such as photocopying, faxing, mailing, and maintaining office supplies inventory
  • Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing and expense tracking
  • Assist with office management duties including organizing files, maintaining office equipment, and ensuring a clean, professional workspace
  • Provide bilingual support when needed to facilitate communication with diverse clients or team members
  • Demonstrate excellent phone etiquette while handling inquiries via multi\-line phone systems and providing prompt assistance
  • Experience

  • Proven office experience or administrative experience in a fast\-paced environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills
  • Familiarity with QuickBooks or bookkeeping software is a plus
  • Previous experience working as a receptionist or medical/dental receptionist is advantageous
  • Excellent organizational skills with the ability to multitask effectively under tight deadlines
  • Strong typing skills coupled with attention to detail for proofreading documents
  • Customer service background with experience in customer support or client relations
  • Knowledge of phone etiquette and multi\-line phone systems for professional communication
  • Personal assistant or office management experience is desirable but not required
