Overview

We are a growing construction support company seeking a detail\-oriented Administrative Assistant to support our expanding operations. This role is responsible for document control, project coordination, base access processing, bookkeeping support, and general administrative functions to help ensure our projects run efficiently.

Duties

  • Provide administrative support to project managers
  • Perform data entry, filing, and proofreading tasks to maintain accurate records and documents
  • Coordinate with vendors, subcontractors, and clients for required documentation
  • Process and track base access requirements (DBIDS/SECNAV) as needed
  • Process and track Vehicle Registrations and Insurance
  • Maintain organized digital and physical filing systems
  • Coordinate calendar management and appointment scheduling for the Project Manager
  • Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking
  • Assist with office management duties such as supply inventory, organization of files, and general clerical support to ensure a productive work environment
  • Assist with project closeout documents, invoices, and reports
  • Perform other administrative duties as assigned
  • Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar)
  • Prior experience with QuickBooks or bookkeeping is highly desirable
  • Strong interpersonal skills with the ability to communicate effectively in bilingual environments if applicable
  • Exceptional time management skills with the ability to prioritize tasks efficiently
  • Ability to perform data entry accurately and maintain detailed filing systems
  • Job Types: Full\-time, Part\-time

    Pay: $12\.00 \- $19\.00 per hour

    Expected hours: No more than 40 per week
