Overview

We are seeking a proactive and detail\-oriented Billing Executive (Assistant) to join our dynamic team. This role offers an exciting opportunity to support financial operations through accurate billing processes, meticulous data management, and seamless administrative coordination. Duties

  • Assist in preparing and processing invoices using accounting software such as QuickBooks and other billing tools
  • Manage and update billing records, ensuring accuracy and completeness
  • Support project coordination efforts by tracking billing milestones and deadlines
  • Handle office management tasks including filing, document proofreading, transcription, and data entry
  • Provide executive administrative support by managing calendars, scheduling appointments, and coordinating meetings
  • Respond to client inquiries with professional phone etiquette and excellent customer service skills
  • Maintain organized filing systems for billing documents, contracts, and correspondence
  • Use multi\-line phone systems and Google Workspace tools to facilitate communication and documentation
  • Support the preparation of reports through data entry, proofreading, and transcription activities
  • Skills

  • Strong organizational skills with the ability to prioritize tasks effectively
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Good knowledge of MS Excel.
  • Basic understanding of billing processes.
  • Excellent typing speed and accuracy for data entry and transcription tasks
  • Knowledge of office management procedures including filing systems and front desk operations
  • Effective communication skills with professional phone etiquette
  • Ability to handle multiple responsibilities using multitasking skills in a fast\-paced environment
  • Use MS Excel for data entry, reporting, and tracking.
  • Familiarity with office equipment such as multi\-line phone systems, scanners, and printers
  • Experience providing administrative support in a professional setting, including calendar management using Microsoft Outlook Calendar or similar tools
