JOB SUMMARY
The Administrative Assistant provides comprehensive clerical and administrative support to ensure efficient day\-to\-day operations of the department. This position is responsible for general office duties, recordkeeping, assisting staff and the public, and collecting and processing rent payments in an accurate and confidential manner. The ideal candidate will be detail\-oriented, professional, and able to manage multiple tasks while maintaining a high level of integrity and customer service.
Essential Duties and Responsibilities:
- Provide comprehensive administrative and clerical support to ensure efficient daily operations of the department.
- Answer and direct incoming calls, greet visitors, and respond to inquiries in a courteous and professional manner.
- Prepare, edit, and distribute correspondence, reports, and other documents as assigned.
- Maintain organized and up\-to\-date filing systems (both electronic and paper) for accurate recordkeeping and easy retrieval.
- Receive, record, and process rent payments and other fees in accordance with established financial procedures.
- Maintain accurate financial and tenant records, issue receipts, and prepare deposit documentation.
- Assist with rent collection tracking and follow\-up on delinquencies as directed.
- Schedule and coordinate meetings, appointments, and conference calls for staff and management.
- Monitor and order office supplies and equipment to ensure adequate inventory.
- Compile information, complete data entry, and generate reports to support departmental operations.
- Maintain strict confidentiality of all organizational, financial, and tenant information.
- Perform other related duties as assigned to support departmental objectives.
- In the absence of the Chief of Staff, the Administrative Assistant will assume responsibility for overseeing departmental operations and ensuring continuity of administrative functions.
- High School diploma or general education degree (GED) is required.
- Associate degree or coursework in education, business, or a related field preferred.
- At least two (2\) years of administrative or clerical experience.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office equipment (printers, copiers, fax).
- Must successfully pass a background check and drug screening as a condition of employment.
- Must possess a valid driver’s license and maintain a clean driving record.

In accordance with applicable Tribal law and Title VII of the Civil Rights Act of 1964, the Picayune Rancheria of the Chukchansi Indians (PRCI) Administration provides employment preference to enrolled PRCI Tribal Members. To qualify, applicants must submit valid proof of enrollment. Tribal Members who meet the minimum qualifications will be given preference in hiring, promotion, transfer, and layoff decisions. During the interview process, PRCI Tribal Members will receive an additional 7\.5 points (10% of the 75\-point interview rubric). Non\-PRCI Native American candidates will receive an additional 5 points (6\.7% of the total points) in accordance with Indian Preference guidelines.
