- Manage and maintain complex calendars, scheduling appointments, meetings, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
- Provide executive administrative support by preparing correspondence, reports, and presentations with precision and clarity.
- Coordinate projects by tracking deadlines, organizing resources, and ensuring timely completion of tasks.
- Handle office management duties including filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
- Oversee communication channels through multi\-line phone systems, phone etiquette, and prompt response to inquiries.
- Assist with event planning for meetings, corporate events, or team activities to ensure seamless execution.
- Perform proofreading and transcription tasks to guarantee accuracy in all documents and communications.
- Maintain organized files both physically and digitally while ensuring confidentiality at all times.
- Support front desk operations by greeting visitors professionally and managing incoming calls efficiently.
- Utilize office software such as Microsoft Office Suite (Word, Excel), Google Workspace applications, and DocuSign for document signing processes.
- Proven experience as a Personal Assistant or in an administrative support role with a strong background in office management.
- Demonstrated expertise in event planning, project coordination, and calendar management.
- Proficiency in QuickBooks for bookkeeping and financial record keeping.
- Excellent typing speed along with strong organizational skills and attention to detail.
- Familiarity with clerical tasks such as filing, data entry, proofreading, transcription, and customer service.
- Experience handling multi\-line phone systems and managing complex schedules using Microsoft Outlook Calendar or Google Workspace.
- Prior office experience supporting executives or senior management is highly desirable.
- Strong computer literacy across various platforms including Microsoft Office Suite, Google Workspace applications, and familiarity with electronic signature tools like DocuSign.
