Job Overview
Seeking a highly organized Administrative Assistant in a law and real estate firm. The ideal candidate is tech\-savvy and a proactive self\-starter, handling all aspects of office management Monday through Thursday 9\-5 and Friday 9\-12\.
Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
- Operate phone systems efficiently, handling inquiries and taking messages.
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading
- Use Microsoft Office Suite tools for document creation, editing, and communication tasks
- Schedule appointments, manage calendars, and coordinate meetings with precision
- Draft letters using to proper formatting and language.
- Provide excellent customer service by assisting clients, vendors, and team members with their needs in a courteous manner
- Perform clerical tasks such as copying, scanning, mailing, and managing office supplies to ensure smooth operations
- Light housekeeping (sweeping, vacuuming, etc.)
- Proven experience in office management or administrative support roles with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent typing speed and data entry accuracy to handle high\-volume tasks efficiently
- Strong phone etiquette skills with experience managing multi\-line phone systems
- Previous experience as a receptionist or personal assistant is desirable
- Knowledge of legal, medical or dental receptionist duties is advantageous but not required
- Demonstrated ability to multitask effectively while maintaining attention to detail and professionalism
