Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

  • Manage front desk duties, including greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi\-line phone systems to handle incoming calls, transfer calls, and take messages accurately
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Perform data entry and bookkeeping tasks using QuickBooks and other accounting software to support financial recordkeeping
  • Schedule appointments, manage calendars, and coordinate meetings for staff and executives with precision
  • Support office management activities such as ordering supplies, maintaining office equipment, and overseeing general administrative functions
  • Provide excellent customer service by assisting clients, vendors, and team members promptly and courteously
  • Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Familiarity with QuickBooks accounting software is highly desirable
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members
  • Excellent typing speed and accuracy along with strong proofreading skills
  • Experience handling multi\-line phone systems, calendar management, and appointment scheduling
  • Demonstrated ability to prioritize tasks efficiently using time management techniques
  • Previous experience as a receptionist or personal assistant is advantageous
  • Knowledge of office management procedures including filing systems, data entry, and customer support
