We are seeking a highly organized and detail\-oriented Administrative Assistant to support our office operations. This role is essential in ensuring smooth daily functions, managing communications, and providing exceptional customer service. Duties
- Manage front desk responsibilities, including greeting visitors and answering multi\-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office Suite, Google Workspace, and QuickBooks for administrative tasks such as scheduling, invoicing, and bookkeeping
- Coordinate calendar management and appointment scheduling for staff and clients
- Handle customer support inquiries via phone, email, or in person, ensuring excellent phone etiquette and customer service standards
- Assist with office management duties including supply ordering, mail distribution, and maintaining a clean work environment
- Support personal assistant tasks such as travel arrangements or special project coordination as needed
- Maintain confidentiality of sensitive information and ensure compliance with company policies
- Proven experience in an office environment with clerical or administrative responsibilities
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional communication skills, including phone etiquette and customer service experience
- Ability to handle multi\-line phone systems efficiently and professionally
- Bilingual skills are preferred to assist diverse client needs
- Experience with office management software, data entry, filing systems, proofreading, and time management tools is highly desirable
- Previous experience as a receptionist (medical or dental), personal assistant, or in bookkeeping is advantageous
