Job Overview

We are seeking a highly organized and detail\-oriented Administrative Assistant to support our office operations. This role is essential in ensuring smooth daily functions, managing communications, and providing exceptional customer service. The ideal candidate will possess strong office management skills, proficiency with various software tools, and the ability to handle multiple tasks efficiently. Bilingual abilities and previous experience in office or clerical roles are highly valued to enhance team productivity and client interactions.

Duties

  • Manage front desk responsibilities, including greeting visitors and answering multi\-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Utilize Microsoft Office Suite, Google Workspace, and QuickBooks for administrative tasks such as scheduling, invoicing, and bookkeeping
  • Coordinate calendar management and appointment scheduling for staff and clients
  • Handle customer support inquiries via phone, email, or in person, ensuring excellent phone etiquette and customer service standards
  • Assist with office management duties including supply ordering, mail distribution, and maintaining a clean work environment
  • Support personal assistant tasks such as travel arrangements or special project coordination as needed
  • Maintain confidentiality of sensitive information and ensure compliance with company policies
  • Requirements

  • Proven experience in an office environment with clerical or administrative responsibilities
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Exceptional communication skills, including phone etiquette and customer service experience
  • Ability to handle multi\-line phone systems efficiently and professionally
  • Bilingual skills are preferred to assist diverse client needs
  • Experience with office management software, data entry, filing systems, proofreading, and time management tools is highly desirable
  • Previous experience as a receptionist (medical or dental), personal assistant, or in bookkeeping is advantageous
  • Demonstrated ability to work independently while supporting team objectives
