My Injection Training and Regen Academy are fast\-growing medical education companies that train healthcare providers in regenerative medicine, ultrasound\-guided procedures, clinical protocols, and practice growth. We are looking for an enthusiastic, high\-energy Operations Coordinator / Executive Assistant who can help us create an exceptional experience for our students, members, speakers, sponsors, and team. This is not a sit\-back\-and\-wait\-for\-instructions position. We need someone who sees what needs to be done, takes ownership, communicates well, and enjoys being the person everyone can count on. What You'll Be Doing You'll have a diverse role supporting our educational programs, memberships, webinars, live training events, and leadership team. Your responsibilities will include: Coordinating live webinars, Zoom meetings, guest speakers, and educational events Managing Zoom webinars, panelists, recordings, and basic troubleshooting Supporting our Regen Elite membership community Helping members access courses and resources through Skool Responding to customer questions by email, text, and phone Assisting with membership subscriptions, cancellations, payment issues, and account updates Maintaining spreadsheets, trackers, digital files, and operational systems Coordinating speakers, sponsors, students, and medical models for training events Preparing badges, certificates, agendas, registration materials, swag bags, and event documents Communicating arrival instructions and event details to attendees Helping coordinate registration and logistics during live training events Managing post\-event documentation, evaluations, certificates, and follow\-up Troubleshooting issues and finding solutions when something doesn't go according to plan Supporting leadership with administrative and operational projects Some days you'll be working behind a computer. Other days you'll be helping run a live medical training event. We need someone who enjoys both. You're Probably a Great Fit If You Are... UPBEAT. TECH\-SAVVY. You're comfortable learning new software and figuring out technology. A GREAT COMMUNICATOR. You're comfortable communicating professionally with physicians, nurse practitioners, physician assistants, business owners, speakers, sponsors, students, and patients. DETAIL\-ORIENTED. You notice the missing name badge, incorrect Zoom link, unpaid account, incomplete form, or schedule conflict before it becomes a bigger issue. DEPENDABLE. If you say you're going to handle something, it gets handled. FLEXIBLE. Live events sometimes change quickly. You can adjust without becoming overwhelmed. CONFIDENT. You're comfortable taking ownership, asking questions, and communicating with executives and healthcare professionals. Technology You'll Work With Experience with some of these is helpful: Zoom Skool Stripe Authorize.net Payment processing and subscription platforms Microsoft Office / Google Workspace Excel / Google Sheets Email and SMS communication platforms CRM and customer management systems You don't need to know every platform on day one. What's more important is that you're comfortable with technology and can learn quickly. Experience We'd Love to See Experience in one or more of the following would be especially valuable: Executive or administrative assistance Operations coordination Event planning Customer service Medical office administration Continuing medical education Membership organizations Training or educational companies Webinar or virtual event management Experience in healthcare is helpful, but attitude, organization, communication skills, and initiative matter tremendously to us.
