Through LakeScape, affiliated businesses, partner companies, and certified contractors, we provide a broad range of lakefront construction and home services, including dock and deck construction, boat lifts, electrical, landscaping, irrigation, hardscapes, seawalls, and other property services. LakeScape is one of a small group of family\-owned businesses owned by David and Jodie McGirt. Position Summary LakeScape is seeking an experienced and highly organized Business Office Manager to oversee critical financial, administrative, and back\-office functions for LakeScape and affiliated businesses. This is a hands\-on business operations position for someone who is comfortable managing financial details, deadlines, accounts receivable and payable, payroll, reconciliations, documentation, customer interactions, and multiple priorities across several businesses. Although employed by LakeScape, the Business Office Manager will support LakeScape and other businesses associated with David and Jodie McGirt. The successful candidate will be dependable, detail\-oriented, financially minded, comfortable working with multiple software systems, and capable of taking responsibility for an item from start to finish. Key ResponsibilitiesAccounting \& Financial Administration Manage customer invoicing and accounts receivable to support accurate and timely billing and collections. Manage vendor bills and accounts payable, including processing payments through QuickBooks. Process ACH transactions and customer contract payment requests. Record and manage cash and check deposits. Perform monthly bank and credit card reconciliations. Monitor outstanding accounts receivable, including amounts that remain within established payment terms. Track collections, aging, and percentage of receivables paid on time. Reconcile estimated versus actual materials used on completed jobs. Assist management in monitoring job costs and identifying jobs that are trending over budget. Support job\-level financial reporting and ensure completed projects are accurately closed out. Calculate and process required IRA contributions/payments. Maintain accurate financial documentation and records. Payroll \& Employee Administration Manage employee timesheets and payroll administration. Review time records for completeness and accuracy prior to payroll processing. Coordinate payroll calculations and processing using ADP. Maintain appropriate payroll and employment\-related documentation. Handle workers' compensation claims, documentation, and required weekly, monthly, and annual reporting. Maintain strict confidentiality when working with employee, payroll, compensation, and company information. Business \& Office Administration Maintain subcontractor documentation, contracts, payment records, and required insurance information. Monitor Certificates of Insurance to ensure documentation remains current and compliant. Collect estimate and sales information and maintain consolidated reporting for inside and outside sales. Track jobs, tasks, deadlines, and follow\-up items across supported businesses using appropriate management systems. Prepare and distribute recurring management reports. Maintain organized physical and digital records for accurate and efficient retrieval. Order and manage office supplies and maintain appropriate inventory. Provide secondary backup for incoming telephone calls, route calls appropriately, and professionally greet customers and visitors. Support customers by answering questions, coordinating information, and helping resolve administrative or billing concerns. Perform other duties and special projects assigned by the Chief Operating Officer or business leadership. Professional and courteous customer service skills. Sound judgment when handling confidential or sensitive information. Strong follow\-through and personal accountability. Ability to adapt when priorities change or unexpected situations arise. Ability to build productive relationships with employees, customers, subcontractors, vendors, and business partners. Ability to professionally manage disagreements and resolve issues. Understanding of office procedures, policies, documentation standards, and internal controls. Comfort working in a growing small\-business environment where responsibilities may cross traditional departmental lines. Technology \& Systems Candidates should be proficient with Microsoft Office, including Excel, Word, Outlook, and related business applications. Experience with the following systems is strongly preferred: QuickBooks ADP BuilderTrend JobTread HubSpot Candidates are not required to have extensive experience with every platform but should be comfortable learning new systems and using technology to manage financial information, projects, customers, employees, and business reporting. Education \& Experience Required: High school diploma or GED. 3–5 years of relevant experience in business office management, bookkeeping, accounting administration, finance, business operations, or a similar role. Demonstrated experience managing financial and administrative responsibilities. Experience with accounts payable and accounts receivable. Strong computer and business software skills. Proven ability to independently manage significant business\-office responsibilities. Preferred: Experience with payroll administration. Strong QuickBooks experience. Experience with financial reconciliations and job costing. Experience supporting construction, home services, trades, project\-based businesses, or other small\-to\-midsize businesses. Experience supporting multiple related companies or business units. Supervisory or team\-lead experience. Physical Requirements This position requires the ability to: Sit for prolonged periods while working at a desk and computer. Communicate effectively in person and by telephone. Lift up to 50 pounds occasionally. Visit and inspect project sites when necessary. Traverse outdoor job sites in varying weather conditions. Work comfortably in, on, and around freshwater environments when visiting Lake Martin project sites. Work Environment \& Schedule Full\-time, W\-2 employment 40 hours per week Monday–Friday, 8:00 a.m.–5:00 p.m. Central Time Primarily office\-based at 180 Birmingham Road, Eclectic, AL 36024 Some flexibility may occasionally be required for business needs, including evenings or weekends. Local travel around Lake Martin may be required. Limited overnight travel may occasionally be required. Occasional travel within the Southeast may be requested for training, education, or business\-development purposes. Compensation $45,760–$62,400 per year Starting salary will be determined based on relevant experience, demonstrated bookkeeping and financial capabilities, QuickBooks proficiency, payroll experience, systems knowledge, and the candidate's ability to independently manage the responsibilities of the position.
