Overview POSITION SUMMARY USA Home Care Plus is seeking a highly organized, dependable, proactive, and professional Human Resources Assistant to provide comprehensive administrative and operational support to the Human Resources Department. The HR Assistant will work closely with the Human Resources Manager and must be capable of independently handling day\-to\-day HR responsibilities, following established policies and procedures, and ensuring timely follow\-up on employee, caregiver, recruitment, scheduling, and compliance matters. This position requires excellent interpersonal skills, sound judgment, initiative, confidentiality, attention to detail, and the ability to communicate professionally with caregivers, employees, applicants, clients, supervisors, and management. The ideal candidate will have previous caregiver or home care experience and an understanding of the unique staffing, documentation, compliance, and communication needs of a home care agency. ESSENTIAL DUTIES \& RESPONSIBILITIES Human Resources \& Administrative Support ● Provide daily administrative and clerical support to the Human Resources Manager and HR Department. ● Assist with the overall day\-to\-day operations of Human Resources. ● Maintain organized and accurate employee personnel files and HR records. ● Prepare, type, scan, upload, file, and distribute HR documents and correspondence. ● Maintain strict confidentiality of employee, client, company, payroll, and other sensitive information. ● Assist with employee documentation, policy acknowledgments, training records, evaluations, counseling documentation, and other HR\-related records. ● Monitor outstanding documentation and follow up with employees until required items are completed. ● Assist management with special projects and other administrative duties as assigned. Recruitment \& Onboarding ● Assist with the complete recruitment and hiring process for caregivers and other agency personnel. ● Review applications and resumes and assist with identifying qualified candidates. ● Conduct initial applicant screening and assist with interviews. ● Schedule interviews, orientations, training, and other hiring\-related appointments. ● Communicate with applicants throughout the recruitment process. ● Assist with employment offers and pre\-employment requirements. ● Collect and verify required new\-hire documentation. ● Assist with background checks, employment eligibility documentation, certifications, licenses, and other required employment records. ● Assist with new\-hire orientation and onboarding. ● Ensure employees complete required system registrations, training, and policy acknowledgments before beginning work. ● Maintain applicant and new\-hire records within applicable HRIS and applicant tracking systems. Employee \& Caregiver Support ● Serve as a professional point of contact for employees and caregivers. ● Respond to routine employee questions and appropriately escalate matters requiring HR Manager involvement. ● Maintain consistent and professional communication with caregivers regarding schedules, documentation, training, policies, attendance, and other employment requirements. ● Assist with employee relations documentation and follow\-up. ● Track outstanding employee requirements and proactively contact employees when action is needed. ● Demonstrate professionalism, patience, tact, and strong interpersonal skills when addressing employee concerns. Scheduling \& Operational Support ● Assist with caregiver scheduling and schedule\-related communication as needed. ● Communicate schedule changes and other important information to caregivers. ● Follow up on open shifts, call\-offs, attendance issues, and scheduling concerns. ● Assist in maintaining accurate employee availability information. ● Coordinate with management to ensure staffing and HR\-related matters are addressed promptly. ● Be available to provide occasional weekend support when operational needs require it. Compliance \& Recordkeeping ● Assist the Human Resources Manager with maintaining compliant and complete employee files. ● Monitor expiration dates for licenses, certifications, training, evaluations, and other required documentation. ● Follow up with employees regarding missing or expiring documents. ● Assist with audits and internal HR file reviews. ● Maintain accurate information within HRIS and other agency systems. ● Follow company policies, confidentiality requirements, and applicable employment and home care regulations. ● Immediately bring potential compliance concerns to the attention of the Human Resources Manager or appropriate management personnel. REQUIRED QUALIFICATIONS ● High school diploma or equivalent required. ● Associate or bachelor’s degree in Human Resources, Business Administration, Healthcare Administration, or a related field preferred. ● Minimum of 1–2 years of administrative, Human Resources, healthcare, home care, or professional office experience preferred. ● Previous caregiver or home care experience strongly preferred. ● Valid driver’s license and reliable personal vehicle required. ● Ability to travel locally for agency\-related responsibilities when necessary. ● Ability to work occasional evenings or weekends based on agency needs. BACKGROUND CHECK \& PRE\-EMPLOYMENT REQUIREMENTS ● Must successfully complete and satisfy all required criminal background check requirements as a condition of employment. ● Must successfully complete the company’s required pre\-employment drug screening. ● Must meet all applicable requirements of the Illinois Department of Public Health (IDPH) Health Care Worker Background Check Act. ● Must meet applicable Illinois Health Care Worker Registry (HCWR) eligibility requirements. ● If the candidate does not already have the required qualifying fingerprint\-based criminal history record check on file, the candidate must complete fingerprinting through an authorized Livescan fingerprint vendor, when required. ● Must not have any disqualifying convictions or administrative findings that prohibit employment in the applicable position unless an appropriate waiver or other authorization has been granted. ● Continued employment is contingent upon maintaining all applicable background\-check, registry, and compliance requirements. TECHNICAL SKILLS ● Strong typing and data\-entry skills. ● Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and related applications. ● Strong email and electronic communication skills. ● Experience using or ability to quickly learn HRIS software. ● Familiarity with applicant tracking systems (ATS). ● Ability to learn scheduling, payroll, training, and employee\-management software. ● Ability to scan, upload, organize, retrieve, and maintain electronic documents. ● Strong computer literacy and ability to navigate multiple systems efficiently. INITIATIVE \& ACCOUNTABILITY This position requires an individual who does not simply wait to be assigned every task. The HR Assistant is expected to recognize routine HR and administrative needs, take appropriate initiative, follow established procedures, and ensure responsibilities are completed from beginning to end. The successful candidate must be comfortable following up with employees, applicants, caregivers, and management; identifying incomplete tasks or documentation; communicating concerns promptly; and maintaining accurate records of actions taken. CONFIDENTIALITY Due to the nature of Human Resources, the HR Assistant will have access to confidential employee, applicant, client, payroll, disciplinary, and company information. The employee is expected to maintain the highest level of discretion and confidentiality at all times. PHYSICAL \& TRANSPORTATION REQUIREMENTS ● Must possess a valid driver’s license. ● Must have access to a reliable personal vehicle. ● Must be able to travel locally when required for agency business. ● Must be able to perform routine office duties including prolonged computer use, typing, filing, scanning, and document management. EXPECTATIONS The HR Assistant serves as an extension of the Human Resources Department and is expected to represent USA Home Care Plus professionally at all times. This individual must be dependable, resourceful, organized, responsive, and capable of handling routine HR operations with minimal supervision while knowing when matters should be escalated to the Human Resources Manager.
